Who is responsible
Everward House Ltd, trading as What If You Could, is responsible for the personal information used to operate this website and respond to enquiries. We are registered in England and Wales, company number 16365512. Our registered office and postal contact is 128 City Road, London, EC1V 2NX. Contact Richard at richard@whatifyoucould.co.uk about your information or this notice.
When you contact Richard
We use the name, contact details and message you provide to answer your enquiry and arrange conversations you request. Our lawful basis is our legitimate interest in responding to enquiries about the business. Please avoid including medical or other sensitive information.
Your message goes to Richard acting for the company. If another person would be better placed to help, Richard will check that you are happy for him to introduce you before passing your details on.
You can object to this use of your information and ask us to stop contacting you at any time.
Optional email updates
If you separately choose to receive email updates, Everward House Ltd, trading as What If You Could, will use your email address to send news about Richard’s UW team and the Partner opportunity. Our lawful basis is your consent. You do not have to subscribe to send an enquiry, and you can unsubscribe at any time through the route in each email or by contacting Richard. We do not treat an enquiry alone as mailing-list permission.
We keep your subscription details while you remain subscribed and the updates remain relevant to the choice you made, reviewing whether the information is still needed. When you unsubscribe, we stop marketing and keep only the limited records needed to respect that choice and demonstrate how we handled your consent. We keep these records only as long as necessary for those purposes. This is separate from the six-month rule for enquiries that go no further.
People featured on the website
We use contributors’ agreed names, descriptions, images, voices, videos and accurate quotations with their consent. Contributors receive information about the preparation and publication of their material and can withdraw consent by contacting Richard. We arrange prompt removal and deal with remaining copies. Withdrawal does not affect earlier lawful use. Others may have copied material that was publicly available.
Services that help operate the website
Jamie Button, trading as Simply Button Solutions, builds and maintains the website and handles information on our instructions. Cloudflare provides hosting and technical delivery. Cloudflare Turnstile checks for automated or abusive submissions using necessary connection and browser information; it does not itself send your enquiry. Read Cloudflare’s Turnstile privacy notice. Resend sends enquiry messages to our nominated mailbox and retains delivery information. Our company manages its receiving mailbox.
Necessary technical information, such as IP addresses, request times and browser details, is used to deliver and protect the website. Our lawful basis is our legitimate interest in operating a secure, functioning service. Providers may also handle limited information for their own account administration, security or legal responsibilities, as explained in their notices.
International processing
Some service providers process information outside the UK, including in the United States. Resend stores enquiry delivery information in the United States. Where a transfer requires safeguards, we use an applicable UK adequacy arrangement or approved contractual safeguards, including the UK Addendum to the EU Standard Contractual Clauses where appropriate. Contact Richard for details of the arrangements applying to your information and how to obtain a copy of the relevant safeguards.
How long information is kept
We delete enquiries that go no further from our active records within six months after the last meaningful contact, or sooner if no longer needed. If a relationship continues, we retain the records needed to administer it and explain any additional uses. Limited records may be kept longer where necessary for a particular legal obligation or claim.
Resend keeps email and delivery logs for 30 days. If you choose to receive email updates, how long we keep your details is explained under Optional email updates above.
Contributor material is kept while needed for the agreed website purpose, unless consent is withdrawn sooner. Minimal permission records may be kept as necessary to demonstrate permissions or deal with legal claims.
Optional analytics
If you accept analytics, we use Google Analytics 4 to understand visits and improve the website. It uses identifiers and information such as pages viewed, visit times, browser and device details and approximate location to produce reports. Our lawful basis is your consent. Analytics does not load unless you accept it. You can reject it or withdraw consent at any time using Analytics choices at the foot of every page. Withdrawal stops future collection and does not undo earlier lawful processing. We do not send enquiry contents, questions typed into Virtual Richard or contributor video content to Analytics.
Google keeps Analytics event data for two months, and user-level data, such as the identifier that tells visitors apart, for up to fourteen months. Summary reports that do not identify you may be kept longer. Read Google’s privacy policy.
